The problem

A proposal is a commercial record. Most teams treat it as a document.

Complex proposals get assembled across CRM records, spreadsheets, word processors, pricing tools, email threads, and approval messages. Pricing and narrative fall out of sync. Old documents get reused without anyone knowing what should have been stripped out. Approvals cannot be traced to the exact version they were given against, and published files can be edited after the fact.

Spell Proposals & CPQ Pro keeps the narrative, scope, assumptions, pricing, approvals, delivery, comments, versions, and evidence connected for the whole lifecycle. What was approved is what goes out.

One commercial workspace

Six things that stay together, from first draft to signed decision.

Client facing content and internal governance live in the same record without leaking into each other.

One commercial story

Narrative, scope, assumptions, deliverables, exclusions, and pricing in one version aware workspace, with each section marked client facing or internal only.

Deterministic pricing

One time, monthly, quarterly, annual, usage based, and milestone lines. Totals are calculated, not typed into a table and hoped over.

Exact version approvals

Approvals bind to the specific version reviewed. Published versions are immutable, so nothing changes quietly after sign off.

Secure buyer review

A recipient scoped portal carrying the exact published version, with comments, change requests, and decline reasons captured on the record.

Sanitised reuse

Save a version as a template and customer identity, delivery history, approvals, comments, AI records, and internal sections are stripped by default.

Portfolio visibility

Proposal value, accepted value, what sits with clients, approvals outstanding, change requests, and workflow distribution on one dashboard.

How it works

Eight moves, one governed record.

Every step writes to the same proposal. Revisions create a new version rather than overwriting the history.

01

Start with context

A standalone proposal, a CRM Deal, a reusable template, or an approved construction estimate handed across.

02

Build the proposal

Client narrative, scope, assumptions, exclusions, deliverables, pricing lines, and internal governance notes in one structured workspace.

03

Configure commercials

Quantities, unit prices, billing cadence, totals, and separately permissioned internal cost and margin.

04

Review internally

Submit the exact version. Approvers record decisions against that version, not against a moving target.

05

Publish an exact version

Render the PDF, seal the source artifact, keep its integrity record, and create controlled recipient access.

06

Collaborate with the buyer

Send the secure portal link, optionally attach the exact PDF, and capture comments and change requests on the record.

07

Revise without rewriting

A change creates a new version. The version already published, and everything that happened to it, stays intact.

08

Monitor the portfolio

Track value in progress, proposals with clients, approvals due, requested changes, and where work is stalling.

Pricing and CPQ

Structured commercial lines, not a word processor table.

Products, modules, features, services, implementation, migration, training, support, custom development, and third party items, plus tenant authored types when the standard list does not fit.

Every billing shape

One time, monthly, quarterly, annual, usage based, and milestone structures on the same proposal.

Calculated totals

One time value, monthly recurring, annual recurring, and total commercial value derived deterministically from the lines.

Cost and margin, separately permissioned

Internal commercial data is held under its own permissions rather than hidden behind presentation logic.

Excluded from the client payload

Cost and margin are designed out of the client facing payload, not merely hidden in the client view.

Governance and integrity

What you approved is what the buyer opens.

Draft, internal review, approved for publishing, and published are real states with real consequences, not labels on a folder.

Immutable published versions

Sent and published versions are preserved as records. A revision creates a new version instead of editing a historical client artifact.

Exact artifact integrity

The source artifact used for publication is sealed and carries a verifiable digest of the exact bytes that were sent.

Private storage, short lived links

Published artifacts are stored privately rather than behind public object URLs, and permitted files are delivered through short lived access links.

Viewing is not acceptance

Opening a proposal is recorded as engagement. It is never treated as acceptance or a signature.

Spella, with commercial guardrails

Move faster without handing AI the authority to commit.

Spella drafts from the brief and context you deliberately provide, and reviews an exact saved version for gaps, mismatches, and unclear language. Availability depends on tenant entitlements, policy, and configuration.

Drafting you can edit

Narrative, scope, and pricing structure produced as editable content, presented for review rather than applied.

Assumptions, not invented prices

An unknown price is represented as a zero value line with the assumption called out, instead of a confident number nobody can source.

No authority to commit

Spella cannot set authoritative pricing, approve, publish, sign for a customer, create acceptance evidence, or silently edit saved content.

Evidence retained

Model, prompt, source, usage, and evidence metadata are persisted for governed AI activity.

The Spell platform

Independently usable. Natively connected.

A separately licensed module that works as a focused proposal workspace on its own, and shares context when other Spell modules are enabled. Tenant activation and configuration apply.

Works without a Deal

Create and manage standalone proposals. Nothing forces a proposal to begin inside an opportunity.

Connected to Spell CRM

Link to Deals, associate Accounts and Contacts, and initialise from quote backed Deal context when that helps the workflow.

Estimate to proposal

Supported approved construction estimates convert into structured proposals carrying pricing, commercial additions, scope, assumptions, and exclusions.

Shared foundations

One set of customer records, identities, permissions, branding, and audit infrastructure across the modules you run.

FAQ

Common questions.

Do we need Spell CRM to use it?

No. Teams can create and manage standalone proposals. When Spell CRM is enabled, proposals can also use shared Deal, Account, Contact, quote, identity, permission, branding, and activity context.

What pricing models are supported?

Structured one time, monthly, quarterly, annual, usage based, and milestone lines, with deterministic one time, recurring, and total commercial calculations.

Can clients review proposals online?

Yes. Authorised recipients use a secure, branded portal to review the exact published version, open permitted documents, comment, request changes, or decline with a reason.

Does opening a proposal count as acceptance?

No. Viewing is recorded as engagement but is never treated as acceptance or a signature.

Does Spella approve or publish proposals?

No. Spella assists with drafting and review. Authorised people remain responsible for pricing, edits, approvals, publication, and customer commitments.

Can internal cost and margin be protected from clients?

Yes. Internal commercial data is separately permissioned and excluded from the client facing payload by design.

Can construction estimates feed proposals?

Supported approved estimates can be converted into proposal records containing pricing, commercial additions, scope, assumptions, and exclusions.

Is electronic signature included?

Production electronic signature depends on an approved signing provider and tenant policy. It is not presented as generally available until that workflow is released.

Bring us a proposal you are working on now.

We will walk it through the workspace end to end, configure the commercial lines against your real pricing shapes, run it through approval and publishing, and show you the buyer's side of the portal.
